Add and manage authorised representatives

Sellers with the team management permission to create, edit, and remove team members. Set permissions in Square Dashboard.

About authorised representatives

Sometimes you may want someone other than the account owner to manage specific tasks or reach out to Square Support. You can grant your team members account access by adding them as an authorised representative.

An authorised representative is a team member or associate who can: 

  • Contact Square Support for general guidance (no account-specific details)

  • Ask Square Support general questions about Square Loans (excluding offer-specific details)

  • Discuss account-specific details with Square Support, like transactions, transfers, fees, customers, and subscriptions

  • Ask Square Support to update business information

Authorised Representatives cannot take action on a Square Loans offer.

Only the Account Owner can take action on a Square Loan, including applying, cancelling, requesting servicing support, and more.

Before you begin

  • You can manage team members as authorised representatives from your Square Dashboard or your point of sale app. Learn how to add and manage team members.

  • If you are using Modes on your Square POS app, add the Team Member add-on first. Learn how to Manage your Square point of sale add-ons.

  • As a reminder, per Square’s Terms of Service that you agreed to, you are fully responsible for all activity that occurs under your Square account, including any actions taken by persons to whom you have granted access to your Square account.

Add an authorised representative

Square Dashboard

There are two ways to add authorised representatives from your Square Dashboard:

Option 1: From a team member profile:

  1. Sign in to Square Dashboard and go to Staff > Team > Team members.
  2. Select a team member’s name.
  3. Click (•••) > Edit Permissions.
  4. Under ‘Assign permissions’, toggle on Authorised representative.
  5. Click Save.

Option 2: From business security settings:

  1. Sign in to Square Dashboard and go to Settings > Account & Settings > My business > Security.
  2. Under Authorised Representatives, click Assign authorised representative and choose to:
    • Add new team member: Follow the steps to add a new team member.
    • Select existing team members: Select an existing team member and select Assign authorised representative.
  3. Changes will automatically save.

Square POS app

  1. Open your Square app, and tap ≡ More > Team.
  2. Tap a team member’s name and tap the edit icon.
  3. Toggle on Authorised representative.
  4. Tap Save.

Remove an authorised representative

From a team member profile

  1. Sign in to your Square Dashboard and click Staff > Team > Team members.
  2. Select an existing team member.
  3. Under Permissions, select Edit.
  4. Toggle off Authorised representative.
  5. Click Save.

From business security settings

  1. Sign in to your Square Dashboard and click Settings > Account & Settings > My business > Security.
  2. Under Authorised representatives, select a team member’s name.
  3. Under Permissions, select Edit.
  4. Toggle off Authorised representative.
  5. Click Save.
