Set up order ticket settings

Who is this article for?
  • Account owners or team members with the account and settings permission to configure order settings. Set permissions in Square Dashboard.
  • Sellers with full service, quick service, bar, retail or standard mode enabled in the Square Point of Sale app.
  • About order manager settings

    With Square Order Manager, you can set up alerts and printing settings to ensure your checkout and order flows are seamless, particularly if you’re accepting online orders.

    • Alerts: You can toggle in-app alerts on or off for new orders. You can choose how often you want to see new order alerts and whether to view them immediately or dismiss the notification. 

    • Printing: Order Manager allows you to manage printing settings for orders to help your front- and back-of-house staff. You can print receipts, order tickets or labels.

    Before you begin

    • You can take orders and customize your order settings from the Square POS apps, including:

      • Square Point of Sale

      • Square Restaurant POS app

      • Square Retail POS app

      • Square Restaurant POS app

    • You can also set up order ticket naming or auto-assign ticket numbers from Square Dashboard and the Square POS apps. Auto-assign ticket numbers will update the settings for any POS devices that share the same mode.

    Step 1: Turn on order creation

    If you use the Square Point of Sale app in standard mode, order creation is turned off by default.

    To turn on order creation from the Square Point of Sale app in standard mode:

    1. Open your Square POS app and tap ≡ More > Settings > Orders.

    2. Tap Order creation and turn on Enable order creation in checkout.

    Step 2: Customize order settings from the Square POS apps

    Point-of-sale app

    From your Square Point of Sale app (Full Service, Quick Service, or Bar mode), or from your Square Restaurants POS app:

    1. Open your app and tap ≡ More > Settings > Orders.
    2. Tap Quick Actions and enable this feature.
    3. Tap Alerts & Notifications and enable the relevant settings:
      • Allow new order notifications
      • Allow online order cancellation notifications
      • Allow curbside arrival alerts
    4. Tap the back arrow.
    5. Optionally tap Reload all orders to refresh the orders shown on the Orders tab.

    From your Square Point of Sale app in Retail mode, or from your Square Retail POS app:

    1. Open your app and tap ≡ More > Settings > Orders.
    2. Tap Quick Actions and enable this feature.
    3. Tap Order Notifications and enable the relevant settings:
      • Allow new order notifications
      • Allow curbside arrival alerts
      • Notify me when printing is paused when the app is in the background
    4. Tap the back arrow.

    From your Square Point of Sale app in Standard mode:

    1. Open your app and tap ≡ More > Settings > Orders.
    2. Tap Order Notifications and enable the relevant settings:
      • Allow new order notifications
      • Allow curbside arrival alerts
      • Notify me when printing is paused when the app is in the background
    3. Tap the back arrow.
    4. Optionally tap Sync > Reload All Orders to refresh the orders shown on the Orders tab.
    5. Tap the back arrow.

    Step 3: Customize order settings from the Square POS apps

    Square Dashboard

    1. Sign in to your Square Dashboard and go to Settings > Device management > Modes.
    2. Select a mode.
    3. Under Settings, click Manage.
    4. Click Checkout > Order tickets and select from the following options:
      • No ticket name or No Order identifier.
      • Auto-assign ticket numbers. Enable Include open checks to auto-assign ticket numbers to open checks, if applicable.
      • Enter custom number or name. Turn on Only name tickets when a KDS or printer is connected, if applicable.
    5. Click Save.

    If you select to auto-assign ticket numbers, you can adjust the maximum ticket number per location in Square Dashboard under Settings > Account & Settings > Order tickets.

    Point of sale

    From your Square Point of Sale app (Full Service, Quick Service, or Bar mode), or from your Square Restaurants POS app:

    1. Open your app and tap ≡ More > Settings > Checkout.
    2. Tap Order tickets and select from the following options:
      • No ticket name.
      • Auto-assign ticket numbers. Select Include open checks to auto-assign ticket numbers, if applicable.
      • Enter custom number or name. Select Only name tickets when a KDS or printer is connected, if applicable.
    3. Tap the back arrow to save the settings.

    From your Square Point of Sale app in retail, bookings, or standard mode or from your Square Retail POS app or Square Appointments POS app:

    1. Open your app and tap ≡ More > Settings > Checkout.
    2. Tap Order tickets and select from the following options:
      • No Order identifier.
      • Auto-assign ticket numbers. Select Include open checks to auto-assign ticket numbers to open checks, if applicable.
      • Enter custom number or name. Select Only name tickets when a KDS or printer is connected, if applicable.
    3. Tap the back arrow to save the settings.

    If you select to auto-assign ticket numbers, you can adjust the maximum ticket number per location in Square Dashboard under Settings > Account & Settings > Order tickets.

    Step 4: Set up order printers

    You can set up printer profiles and connect a printer to Square to print receipts, order tickets or labels.

    Once you’ve set up Order Manager alerts and printing settings on your point of sale, you can begin taking and printing orders.

    Step 5: Set up order permissions

    If you need to make more or fewer sales visible to an employee, you can modify the employee’s permissions in the Staff section of your Square Dashboard. The relevant permission sets are:

    • Checkout > Open Tickets: Applies to open tickets and bar tabs

    • Orders: Applies to online orders

    • Transactions: Applies to sales of all types that are paid or completed

    By setting up order permissions for your employees, you’ll take control of the information your employees see about in-store, online and other sales. These permission sets will be reflected across Square. To learn more about permissions, take a look at how to Create and edit permission sets.
