Mark items and modifiers as sold out

  • Account owners or team members with item and inventory permissions to update item availability, modifier availability, and stock counts on your point of sale. Set permissions in the Square Dashboard.
  • About marking an item or modifier as sold out

    If you run out of, or want to no longer sell, an item or modifier you can 86 the item or modifier by marking them as “sold out”. By default, marking items or modifiers as sold out hides them from checkout so they don't appear as selectable options. However, if you enable Sort sold-out modifiers last during checkout on the POS on a modifier set, sold-out modifiers will still appear at checkout but are automatically sorted to the bottom of the list below available options.

    Before you begin

    You can mark an item or a modifier as sold out from your Square Dashboard and your point of sale app and devices.

    Mark items as sold out

    You can mark an item as sold out if you want to make it unavailable to sell.

    Square Dashboard

    To mark an item without variations as sold out (e.g. tracking by stock count is not enabled):

    1. Sign in to Square Dashboard and go to Items & menus (or Items & inventory) > Items > Item library.
    2. Locate the item you want to mark as sold out. Each item displays a status pill showing its current availability.
    3. Click the status pill (e.g., “Available”) next to the item to open the availability modal.
    4. Select Sold out.
    5. Optionally, toggle ON Choose a time to reset to available to set when the item will automatically become available again.
    6. Click Save.

    To mark an item with variations as sold out (e.g. tracking by stock count is not enabled):

    1. Sign in to Square Dashboard and go to Items & menus (or Items & inventory) > Items.
    2. Locate the item you want to update. Click the status pill next to the item to open the availability modal.
    3. Select the variation you want to mark as sold out.
    4. Select Sold out.
    5. Optionally, toggle ON Choose a time to reset to available to set when the variation will automatically become available again.
    6. Click Save.

    Point of sale app and devices

    To mark an item without variations as sold out:

    1. Open your point of sale app and tap ≡ More.
    2. Tap Items > All items.
    3. Tap on the selected item.
    4. Tap Manage stock under the Price and inventory section.
    5. Toggle ON Mark as sold out at this location > tap Done.
    6. Tap Save.

    To mark an item with variations as sold out:

    1. Open your Square app and tap ≡ More.
    2. Tap Items > All items.
    3. Tap on the selected item.
    4. Tap Manage stock next to your variation within the Variations section.
    5. Toggle on Mark as sold out at this location > tap Done.
    6. Tap Save.

    Mark modifiers as sold out

    You can mark a modifier as sold out if you want to make sure it doesn't appear as selectable options while checking out.

    Square Dashboard

    1. Sign in to Square Dashboard and go to Items & services (or Items & menus or Items & inventory) > Items > Modifiers.
    2. Select an existing modifier to mark as sold out.
    3. Click on In stock next to the specific modifier within the Stock status column.
    4. Toggle off the location(s) where the modifier is no longer available > click Done.
    5. Click Save.

    Point of sale app and devices

    1. Open your point of sale app and tap ≡ More > Items > Modifiers.
    2. Tap an existing modifier to mark as sold out.
    3. Toggle off the modifier(s) that is no longer available.
